Event attendance disclaimer

NEWH chapters, regions, and NEWH, Inc. invite you to attend in-person events at your own risk. We take reasonable measures to comply with applicable health and safety guidance at our events, but by attending you assume the ordinary risks associated with event attendance, including exposure to communicable illness. 

Photo release for event attendees

By registering for or attending a NEWH event, you authorize NEWH to photograph, record, and live-stream the event, and to use those photos, recordings, and your name, image, and likeness in NEWH’s print, online, video, and social media materials, as well as other NEWH publications. 

You release NEWH from any reasonable expectation of privacy or confidentiality associated with images or recordings taken at NEWH events. Your participation is voluntary, you will not receive financial compensation for the use of these materials, and publication confers no ownership rights or royalties. 

You also release NEWH, its contractors, employees, and any third parties involved in producing or publishing event materials from liability for claims relating to the use of your photographs or recordings. 

If you have a specific concern — for example, you do not want to appear in marketing materials — please let the event organizer know in advance and we will do our reasonable best to accommodate. 

Event attendance — age policy 

Where alcohol is served at a NEWH event, attendees must meet the legal drinking age in the jurisdiction where the event is held. Attendees under that age are welcome at NEWH events designated as family events, student mentoring events, or other events where alcohol is not served. For all other NEWH events, an attendee under the legal drinking age may attend only if accompanied by a parent, guardian, or other responsible adult. 

Membership refund and cancellation

NEWH reserves the right to decline or cancel a membership. If NEWH declines a new or renewing membership, the applicable dues will be refunded. 

Member-initiated cancellation. Membership cancellation requests received within 30 days of the registration or renewal payment may be eligible for a refund of dues paid, less a $35 service fee. Cancellation requests received more than 30 days after payment are not eligible for a refund.

• The request must come from the member or, where the dues were paid by credit card, from the cardholder.
• Include the member’s name and the transaction number from your receipt.
• Return any benefits or incentives received as part of the membership.

Refunds are processed back to the original payment method. Memberships are non-transferable. 

For Business memberships and Corporate Partner memberships, additional terms in the corresponding sponsorship or membership materials may apply. 

Event refund and cancellation

5.1 Cancellation by NEWH 

NEWH and its chapters reserve the right to cancel an event due to low enrollment, venue issues, or other circumstances that make the event non-viable. If we cancel an event, registrants will be offered a full refund. If an event is postponed, registrants can choose between a full refund and transferring their registration to the rescheduled date. 

5.2 Cancellation by event sponsor 

Unless otherwise stated in the sponsorship materials for a specific event, the refund schedule for sponsorship cancellations is: 

• More than 120 days before the event — full refund
• 60 to 120 days before the event — 75% refund
• 45 to 60 days before the event — 50% refund
• Within 45 days of the event — no refund

5.3 Cancellation by event participant 

Unless otherwise stated in the registration materials for a specific event: 

• Programming events— full refund if cancellation is received at least10 days before the event. Cancellations received less than 10 days before the event are not eligible for a refund. 
• Fundraising events— tickets are non-refundable.

• Include the attendee’s name and the transaction number from your receipt.

Refunds are processed back to the original payment method. 

Leadership Conference and POWERtalk LIVE

NEWH’s annual Leadership Conference and the POWERtalk LIVE program are governed by their own published cancellation terms each year, which are part of the registration and sponsorship materials for the conference. 

In general: 

• Leadership Conference attendee registration— cancellation deadlines are published with each year’s registration materials. Cancellations received after the published deadline are not eligible for a refund.
• Leadership Conference sponsorships— sponsorships are non-refundable. Sponsors who do notsubmit payment as outlined in their sponsorship agreement may have their company name and logo excluded from event materials. 
• POWERtalkLIVE— please see the POWERtalk LIVE materials for the current year’s cancellation deadlines for tables and sponsorships. Exhibitor badge charges are non-refundable but are transferable. 

By signing a sponsorship agreement for the Leadership Conference or POWERtalk LIVE, you authorize NEWH to use your company name, logo, and submitted images in conference programs, signage, advertisements, and other NEWH promotional materials.

Regional tradeshows

NEWH Regional Tradeshow booth cancellation rules are published with each show’s specific materials. Exhibitor badge charges are non-refundable but are transferable.

Goods, merchandise, and educational materials

Returns of goods and materials purchased directly from NEWH require prior authorization and must be requested within 30 days of the invoice date. Within 30 days of purchase, NEWH will replace, substitute, or repair — at our sole discretion — any NEWH product that is deemed defective. Shipping and handling charges are non-refundable. 

Products provided or sold by NEWH partners or affinity programs are subject to the return policies of those partners. 

Currency, taxes, and processing

All amounts are stated in the currency of the original transaction. Where local taxes apply, refunds will be net of any non-refundable tax components. 

Refunds are processed within a reasonable time after approval and may take additional time to appear on your statement depending on your bank or card issuer. 

Changes to this policy

NEWH may update this policy from time to time. The “Last updated” date at the top reflects the most recent change. Material changes will be communicated through our usual NEWH channels. The version of the policy in effect at the time of your transaction governs that transaction.
