Overview

The Project Manager is responsible for hands-on leadership throughout all phases of custom product development for casegoods, upholstery and outdoor furniture. This role oversees design coordination, material specification, vendor costs, and production to ensure projects meet customer expectations, are delivered on schedule, and remain within budget. The successful candidate will play a pivotal role in securing and executing major projects for Bernhardt Hospitality.

Key Responsibilities

  • Product Development & Design:
    • Translate customer requirements into detailed, actionable Bernhardt specifications.
    • Collaborate with design and engineering teams to prepare and refine design concepts.
    • Ensure that design intent and quality standards are maintained throughout sample development and production.
  • Project Management & Execution:
    • Lead project planning and coordination for pre-sale opportunities
    • Develop comprehensive work plans for multiple projects, adapting plans as priorities shift.
    • Oversee project timelines, ensuring on-time delivery while managing budget, quality, and production schedules.
    • Track progress, provide regular updates to stakeholders, and report on key project deliverables.
  • Costing & Financial Oversight:
    • Manage detailed costing models and profitability spreadsheets through our project management software.
    • Establish pricing conditions and assumptions to support competitive and profitable bids.
    • Oversee internal order entry, customer invoicing, accounts receivable, vendor purchase orders, and invoice processing.
  • Vendor & Customer Relations:
    • Build and maintain strong relationships with designers, purchasing groups, end users, and field sales teams.
    • Manage technical reviews with manufacturers and coordinate sample approvals, ensuring alignment with customer finish panel samples and shop drawings.
    • Serve as the key point of contact for customers, communicating expectations and ensuring clarity from design through delivery.
  • Operational & Quality Management:
    • Coordinate closely with internal teams (Hospitality Sourcing, Costing, Design/Engineering, Order Entry, Quality Assurance) and external partners (overseas production teams, OEMs, freight coordinators).
    • Conduct quality assurance audits in collaboration with Quality Assurance Managers.
    • Manage all project documentation, ensuring it is current, complete, and accessible.
  • Communication & Team Leadership:
    • Facilitate regular team and client meetings, delivering clear, engaging presentations and status updates.
    • Communicate project changes, challenges, and successes effectively to all levels of the organization.
    • Resolve issues promptly or escalate as necessary, always maintaining a professional and tactful approach.

  • Technical & Industry Expertise:
    • In-depth understanding of contract furniture design and construction, including CAD proficiency and emerging technologies.
    • Familiarity with vendor capabilities and internal manufacturing competencies.

Reporting & Collaboration

  • Reports directly to the General Manager – Bernhardt Hospitality.
  • Collaborates with cross-functional teams, including the Hospitality Sourcing and Costing Manager, Casegood & Upholstery Designer/Engineer, Freight Coordinator, overseas production and quality assurance personnel, Bernhardt Hospitality Studio in Cebu, Philippines, Field Sales Representatives, Director of Hospitality Sales, order entry teams, and relevant factory personnel.

Authority & Decision-Making

The Project Manager is empowered to take any reasonable actions necessary to ensure the successful operation of projects, in alignment with the Bernhardt Policy Manual and established practices. This includes making key decisions that support effective, timely, and professional office operations, subject to oversight by the General Manager – Bernhardt Hospitality.

Additional Information

  • Extensive travel may be required as needed.
